Key takeaways
  • Both portals now score agents on how fast and how often they answer leads, so slow replies cost visibility as well as deals.
  • The biggest leak in a 15 to 50 agent agency is leads living in personal phones with no shared record and no follow up.
  • Every property ad in Dubai needs a DLD Trakheesi permit, and DLD fines for violations start at AED 50,000.
  • A simple playbook (instant first reply, five qualification questions, viewing booked in the chat, nurture for off plan) fixes most of the leak.

Your agency pays for portal listings every month, and the enquiries do come in. The problem is what happens next: a WhatsApp message lands on an agent's personal phone at 9:40 pm, the agent is at a viewing, and by morning the buyer has booked with someone else. For agencies of 15 to 50 agents, Property Finder leads and Bayut leads are rarely lost at the portal. They are lost in the first hour after they arrive.

How Property Finder leads and Bayut leads reach your agents

On both Property Finder and Bayut, a buyer or tenant sees a listing and contacts the listing agent, usually by call or WhatsApp, sometimes by email. The lead goes to whoever is attached to that listing. In most agencies, that means the agent's own mobile.

Both portals now measure what happens after that contact, and reward agents who answer:

  • Property Finder SuperAgent. Property Finder's Partner Hub lists the monthly criteria: fast responses within 2 hours for WhatsApp leads, an overall response rate above 80 percent across all leads, at least 50 percent positive feedback on WhatsApp enquiries, plus listing quality, a recent approved transaction and a customer rating of 4.0 or higher.
  • Bayut TruBroker. Bayut's agent portal guide says the Responsive Broker badge needs a response rate of 70 percent or higher on at least five WhatsApp or call leads in a month, counting calls and messages received from 9 am to 9 pm on weekdays, with WhatsApp measured over a 4 hour window. Bayut's eligibility page adds that call or WhatsApp tracking must be enabled at the agency.

In other words, response speed is no longer only a sales habit. It is part of how the portals rank and badge your agents. Check the current criteria in your portal dashboards, as both companies update them.

What the research says about speed

The best known study is from Harvard Business Review (2011). The authors audited 2,241 US companies and found only 37 percent replied to an online lead within an hour, while 23 percent never replied at all. Analyzing 1.25 million leads, they found firms that tried to contact a lead within an hour were nearly seven times as likely to qualify it as firms that waited longer, and more than 60 times as likely as firms that waited 24 hours or more.

That research is US data across many industries, and it is from 2011, so treat the multiples as direction rather than a forecast. The logic carries over to Dubai portals, where a buyer can message several agents about similar units in a few taps. The agent who answers first, with something useful, has the best chance of getting the viewing.

The agent level problem

In a 15 to 50 agent agency, the owner rarely sees the lead flow. Here is what typically goes wrong:

  1. Leads live in personal phones. There is no shared record. When an agent leaves, their WhatsApp history leaves too. Property Finder itself makes this point when it offers agencies a way to centralize all agents' WhatsApp leads on one number, so leads still reach someone when an agent is busy, off duty or has left.
  2. No reply out of hours. Evening and weekend enquiries wait until the agent is free. Bayut's own scoring window (weekdays, 9 am to 9 pm) shows how much of the week falls outside "normal" hours.
  3. One reply, then nothing. The agent sends the brochure, the buyer goes quiet, and nobody follows up. A buyer who "goes quiet" is often just comparing.
  4. No qualification. Agents spend viewings on people who are months away, while a ready buyer waits.
  5. The owner cannot measure it. Without a CRM, you cannot see response time per agent or how many leads became viewings.

The same pattern shows up in other sectors, as we explain in why aesthetic clinics in Dubai lose leads after 8 pm.

RERA and DLD advertising rules you cannot skip

Any fix that involves more ads or more automated messages has to stay inside the rules.

  • Trakheesi permit first. The Dubai Land Department requires companies to obtain a permit through the Trakheesi system before launching any real estate marketing campaign, and to show the permit number on every ad. In that 2020 announcement, RERA said fines start at AED 50,000, increase progressively and can lead to licence cancellation, and it warned specifically about unlicensed ads on electronic platforms and social media.
  • QR code on ads. Since 24 April 2023, DLD through RERA has expected companies to feature the permit QR code on print and audiovisual advertisements, so buyers can check the ad is approved, according to the Dubai Media Office.
  • Practical rule. Treat every Meta campaign, Google ad, social post and WhatsApp broadcast that promotes a specific property as an ad that needs a valid permit. Someone in the agency should own permit checks before anything goes live. When in doubt, confirm with DLD.

The lead routing and follow up playbook

1. Route every lead to one place

Connect Property Finder, Bayut, your website and Meta lead forms to one CRM or shared inbox. Every lead gets an owner, a timestamp and a status. If you use a central WhatsApp number, the listing agent still gets the lead, but the agency keeps the history.

2. First reply within minutes, at any hour

The first message should confirm the exact listing, answer the obvious question (availability, price, service charge if known) and ask one question back. Example:

"Hi Sara, thanks for your message about the 2 bed in Dubai Hills (ref 4521). It is still available. Are you looking to buy to live in, or as an investment?"

An AI agent can send this first reply out of hours, then hand over to the listing agent with the context.

3. Five qualification questions

Ask them over the conversation, not as a form:

  1. Buy or rent, live in or invest?
  2. Budget range, and cash or mortgage (pre approved or not)?
  3. Timing: when do you want to move or transfer?
  4. Areas and must haves (bedrooms, school, commute)?
  5. Are you already working with another agent on this?

4. Book the viewing in the chat

Offer two specific slots rather than "when are you free?". Send a location pin and the agent's name the day before, and a reminder two hours before.

5. Follow up the quiet ones

If there is no reply, follow up after one day with a similar listing, after three days with a market fact you can source (for example DLD transaction data for that community), and after a week with a direct question. Then move the lead to a monthly nurture list.

6. Nurture off plan buyers differently

Off plan buyers often decide over weeks or months, around launches and payment plans. Keep a list by project and budget, and send updates only when there is real news: a launch date, a payment plan change, a construction milestone from the developer. Every piece of off plan marketing still needs its permit.

SuperAgent and TruBroker criteria are checked monthly in the portal dashboards

How Hadi's team handles this

For an agency, our entry setup is built around this exact problem. Omar, our WhatsApp front desk AI agent, answers portal and website enquiries in under a minute, day and night, asks the qualification questions and offers viewing slots. Maya keeps the follow up running in the CRM until the lead books or says no, and Rayan runs ads for listings that already have a valid permit. A human growth expert reviews compliance and reports cost per booked viewing every week. You can see how it fits together on the offer page or the live OS. If your portal leads are leaking, talk to us.

Frequently asked questions

How fast should a real estate agent reply to a Property Finder lead?

As fast as possible, ideally within minutes. Property Finder's SuperAgent criteria include replying to WhatsApp leads within 2 hours and an overall response rate above 80 percent, but a buyer can message several agents in minutes, so the first useful reply has the best chance of winning the viewing.

Do I need a Trakheesi permit for Instagram or Meta property ads?

DLD requires a permit before any real estate marketing campaign and the permit number on every ad, and RERA has warned about unlicensed ads on social media. Treat every ad, including social posts, as needing a permit, and confirm the current rules with DLD.

How do agencies stop losing portal leads when an agent leaves?

Route portal leads to a shared number or CRM rather than personal phones, so the conversation history stays with the agency. Property Finder lets agencies centralize all agents' WhatsApp leads on one number through their account manager.

What is the TruBroker Responsive Broker badge on Bayut?

It is a Bayut badge for agents who answer leads reliably. Bayut's guide says it requires a response rate of 70 percent or higher on at least five WhatsApp or call leads a month, measured during weekday business hours.
